How corporate policies influence culture (and why yours might need a makeover)

Let’s talk about workplace policies. You know, those often-overlooked documents sitting on your intranet, gathering digital dust. Or languishing in forgotten binders in lunchrooms.

Compliance box ticked. Right?

Well, not really.

Because corporate policies aren’t just about ticking compliance boxes.

When done right, they inspire confidence, connect employees to your mission, and reflect the brand your people are proud to be part of.

But too often, policies miss the mark. They’re dense, dull and about as engaging as reading the terms and conditions for your latest software update. (Bet you don’t bother, either?).

So, how do you turn policies from boring and brain-hurty (😵‍💫) to clear, empowering and culture-building?

The problem with workplace policies

 

Recently, I’ve been working with two very different brands, one in FMCG and the other in infrastructure.

Completely different industries and entirely different workforces.

Yet when it came to their workplace policies, they had eerily similar challenges:

  • policies that didn’t reflect their brand
  • a tone that was all over the place (formal in one policy, conversational in another) 
  • language so dense, employees needed a dictionary (and a law degree) to get through it.

Sound familiar? It’s not unusual.

Here’s why it happens.

Comms, marketing and brand teams (the people with the skills to create engaging content) are busy focusing on big-picture strategy.

Workplace policies? They often get handed to People & Culture or Legal teams, who may not have the time (or the writing expertise) to craft clear, engaging documents.

The result? Policies that might be legally compliant, but they feel generic, confusing and disconnected from your organisation’s culture.

 

 

 

What happens when policies don’t work

When policies are hard to read or fail to reflect your brand, they’re not just frustrating. They’re a wasted opportunity.

Here’s what I mean.

  • Employees stop reading them. If policies feel like an epic brain workout, employees will skim (or skip) them entirely. This can lead to confusion and non-compliance down the track.

 

  • They don’t build trust. A disjointed tone or overly legalistic language makes policies feel cold and impersonal. Employees end up feeling like policies are written for compliance auditors, not for them (and they might be right).

 

  • Your brand takes a hit. Policies that don’t align with your brand’s voice and values create a disconnect.

Policies are your chance to show employees who you are as a business. When they don’t work, it’s a missed opportunity to strengthen culture and engagement.

Why policies matter for culture

 

Think about the last time you rolled out a big employee initiative – like a new value proposition, a workplace wellness program or a DEI strategy. Chances are, your team put a lot of effort into making sure the messaging was on-brand, clear and meaningful.

Now ask yourself: are your policies getting the same attention?

Here’s why they should.

  • Policies communicate values. A policy is more than a set of rules. It’s a reflection of what your organisation stands for. For example, a flexible working policy is an opportunity to reinforce your commitment to work-life balance.

 

  • They help shape behaviour. A well-written policy doesn’t just tell people what to do. It makes it easy for them to follow through. Clear, engaging policies empower employees to align with your expectations and values.

 

  • They build connection. When employees see policies written in a tone that feels familiar and on-brand, they feel a stronger sense of belonging.

Done right, policies can be a quiet but powerful force for culture-building.

How to fix your workplace policies

 

Ready to give your policies a glow-up? Woop woop! Here’s where to start.

1. Make sure the tone reflects your brand
Your policies should sound like they belong to your organisation. Whether your tone is professional and polished or friendly and approachable, make sure it’s consistent throughout. If you have tone of voice guidelines, this is a great place to start.

 2. Keep it clear and simple
Ditch the jargon and overly formal language. Write policies in plain English so employees can actually understand them without a second (or third) read. Ban the acronyms (ASAP IMO).

3. Make them useful
Think about the employee experience. Are your policies easy to find, read and apply? Use clear headings, subheadings and even examples to help employees navigate them and find the information they need.

4. Review regularly
Policies aren’t set-and-forget documents. Schedule regular reviews to make sure they’re still accurate, relevant and reflective of your culture. Aim for annual reviews, at least. You’ll need someone who is up to speed with workplace legislative changes to be across them, too.
